Creating & Managing Tags in Catalog Glossaries

Tags, also referred to as classification tags, are keywords applied to identify, organize, and further define objects to provide additional context and meaning. Tags can be applied to terms and data assets to associate related objects.

Note

OneTrust is introducing a new method later this year for tag inheritance hat will no longer require a global setting and be available to customers by default. Any tenant created on November 10, 2024 and after will be enabled by default with this new tag inheritance behavior.

To add a tag

  1. On the Data Catalog menu, select Catalog > Glossary. The Glossary Tags list screen appears.

  2. Go to the Tags tab.

  3. Click the Add New button. The Create Classification Tag modal appears.

  4. Complete the fields.

    Note

    Fields in bold are required to create a new tag.

    Description

    Name

    Enter a name for the tag.

    Description

    Enter a description of the tag.

    Type

    Select a type of tag:

    • Business Domain: Describes a particular domain of a business with specialized functions or knowledge.

    • Category: Groups data based on similar characteristics or features.

    • Classification: Defines the sensitivity of data.

    • Retention: Indicates data is relevant to the organization's retention policies and collection uses.

    • ROT: Indicates data that is irrelevant to the organization's retention policies as it is Redundant, Obsolete, or Trivial to the processing or collection needs.

    • Digital Certificate: Indicates data that is sensitive in nature to verify the identity of a device or user and enable encrypted connections.

To edit a tag

  1. On the Data Catalog menu, select Catalog > Glossary. The Glossary Tags list screen appears.

  2. Go to the Tags tab.

  3. Click the name of a classification tag you want to edit. The Details screen appears.

  4. Hover over a field you want to edit until the Edit icon edit_icon.png appears.

  5. Click the Edit icon. All editable fields will display.

  6. Make your changes.

  7. Click the Save button.

To delete a tag

Important

The Tag Inheritance feature will impact the behavior of tag removals. The removal of a tag-term relationship will result in that tag being removed from any data asset that was associated with the term. For more information, see Inheriting Tags in Data Catalog.

  1. On the Data Catalog menu, select Catalog > Glossary. The Glossary Tags list screen appears.

  2. Go to the Tags tab.

  3. Hover over a row for a classification tag until the Context Menu icon context_menu_icon_v2.png appears.

  4. Click the Context Menu icon. The Context menu appears.

  5. Select Delete. A confirmation modal appears.

  6. Click the Confirm button.

To export tags

  1. On the Data Catalog menu, select Catalog > Glossary. The Glossary Tags list screen appears.

  2. Go to the Tags tab.

  3. Click the Export button. An Export Classification Tags modal appears.

  4. Click the Close button on the modal.

  5. Click the task notification icon Notification_ICon.PNG. The Notifications popover appears.

  6. Select the Download Tags_YYYY-MM-DD export from the list of tasks to download the file.

    Note

    The export will download as a Microsoft Excel spreadsheet.

  7. View the export. The export will contain a list of names, descriptions, and types for all of your organization's classification tags.
